Travel Designer at Lapland Luxury (DMC)
Lapland Luxury is a private DMC operating in Lapland, Finland. We are specialized in tailor-made luxury experiences for our guests. We operate Hidden Arctic Cloud Villas located a 30-minute drive from Rovaniemi city centre. As well as AINO Private Island and other luxury villas. We are looking for passionate hospitality team members that can fill a diverse role and is driven by service excellence. Attention to detail and previous experience in a luxury environment will be an advantage.
Seasonal Contract: 15 Sep 2026 to 31 March 2027.
Following a performance review their might be the possibility to extend the contract.
Hours: 8 Hours per day (+ 30 Minute lunch break)
Role Overview
The Travel Designer (Sales) is responsible for managing guest inquiries, crafting personalized proposals, securing bookings, and building partnerships. This role involves proactive sales outreach, itinerary coordination, and seamless collaboration with the Travel Experience Designer and Operations to ensure high-end, tailor-made travel experiences.
Key Responsibilities
1. Sales & Client Relations
Respond to guest inquiries via email, phone, or website within 24-48 hours.
Understand client preferences and present a tailored travel proposal.
Offer pricing overviews and refine packages based on guest feedback.
Recommend personalized consultations to enhance the sales process.
Finalize bookings by providing payment terms, invoices, and secure payment links.
Issue a draft itinerary upon payment confirmation, finalized closer to arrival.
2. Booking & Itinerary Management
Check availability and confirm reservations for all products before offering them.
Book activities, accommodations, and dining in FareHarbor (Dinnerbooking.com for restaurant reservations).
Ensure all guest details, special requests, and flight information are correctly documented.
Build and update detailed itineraries, including airport transfers, activities, and special services.
Hand over finalized bookings to the Travel Experience Designer for execution.
Upsell additional services and experiences based on guest interests.
3. Business Development & Sales Outreach
Conduct proactive sales efforts (cold calls, emails) to attract high-end clients.
Build and maintain relationships with luxury travel agents, corporate clients, and private planners.
Develop seasonal sales campaigns targeting key markets.
Identify and negotiate partnerships
Organize and host familiarization (fam) trips for travel agents and partners.
4. Partner Inspections & Quality Control
Conduct on-site inspections of new suppliers (accommodations, activities, dining venues) together with Travel Experience Designer.
Evaluate and recommend services that align with brand standards.
Ensure quality control of partner experiences by gathering guest feedback.
5. Internal Collaboration
Work closely with the Travel Experience Designer to create seamless guest experiences.
Coordinate with Operations to ensure logistics, scheduling, and feasibility of guest programs.
Maintain clear documentation of partner agreements, pricing, and service quality.
6. Field Work Operations
· On occasion you might be asked to act as host or guide for the guest.
· On occasion you might have to take care of operational duties.
Additional Expectations
Maintain an organized database of potential clients and partners.
Track guest preferences and booking trends for sales optimization.
Stay updated on luxury travel trends and competitor offerings.
